Terms and Conditions



These Terms and Conditions rule the relationship between you (the guest) and us, Randonnee Tours Inc. hereinafter referred to as Randonnée Tours. By booking a tour, you agree to be bound by these Terms and Conditions. They outline among other topics our reservation, payment, cancellation, transfer and rescheduling policies and certain limitations of liability. These terms affect your rights to sue, governing law, forum, and jurisdiction; please be sure to carefully read these terms and make sure you understand your rights and obligations and our rights and obligations. Guests must submit a completed registration form via our website or by mail. By submitting a registration form you indicate that you have read and agree with our Terms and Conditions, and Release and Indemnity.



For tour outside of Canada, at the tour confirmation a deposit of US$500 (or equivalent in CAD$) per person is required to secure the reservation. For tours in Canada, at the tour confirmation a deposit of CAD$ 500 (or equivalent in US$) per person is required to secure the reservation. For tours booked 60 days or less before the start date, the payment in full of the tour cost is required upon confirmation. Submitting your registration form indicates your acceptance of paying the due amount upon trip confirmation. For custom tours, the deposit amount may vary.


For regular tours, the balance of payment is due 60 days prior to the start date of the tour. For custom tours, the due date may vary. For guests paying by credit card, your agreement to the terms & conditions authorizes us to debit any outstanding balance within 60 days of a tour start. If final payment is not received when due, Randonnée Tours reserves the right to regard the reservation as cancelled. All non-residents of Canada must pay in US$ for any tour or service. All payments must be made by cheque or by VISA or Mastercard credit cards.



Cancellations must be made in writing and fees apply as noted. All payments for travel services not provided to the guest will be refunded in accordance with these Terms and Conditions and in accordance with Randonnée Tours’ cancellation policy. Exceptions to this cancellation policy cannot be made for any reason, including personal emergencies, illness, or weather.


Cancellations received on or before 61 days prior to the start of the tour: US$250 per person administration fee will be deducted from the deposit before refund of the remaining amount.

Cancellations received 60 days or fewer prior to the start of the tour: the cost of the tour, including the deposit, is due and not refundable.


Randonnée Tours strictly applies its cancellation policy and no exceptions can be made. Therefore we strongly recommend purchasing travel protection.


In the event that we must cancel a tour, full refunds will be provided for the tour package. Randonnée Tours will not be responsible for any additional charges such as non-refundable airline tickets.



Up until 90 days prior to the start date of your confirmed tour, Randonnée Tours allows to transfer (change tour) or reschedule (same tour different date) without penalties or administrative fees. The new tour has to start in the same calendar year as the one initially booked. Depending on the new tour selected, new dates and new accommodation arrangements the invoice price may change.


Between 90 days and 30 days from the start date of the tour, the fee for transferring or rescheduling a tour is US$250 per tour. Travelers who have purchased Randonnée Tours’ ‘cancel for any reason’ coverage get the US$250 fee waived and receive their 100% trip credit in order to change tour or reschedule it within the next 24 months.


Within 30 days of the tour start, transferring or rescheduling a tour is not permitted unless you have purchased Randonnée Tours’ ‘cancel for any reason’ coverage. Travelers who have purchased Randonnée Tours’ ‘cancel for any reason’ coverage can cancel, transfer or reschedule their tour up until 48 hours before the start and receive a 100% trip credit valid for 24 months.

Travelers are limited to one transfer or reschedule per tour booked.


Because Randonnée Tours strictly applies its transfer and reschedule policy, it is highly recommended that you purchase travel insurance.



Randonnée Tours offers an exclusive ‘cancel for any reason’ coverage which allows you to cancel for any reason up until 48 hours from the start date of the tour and receive a 100% trip credit valid for 24 months. The cost of this is 5% of your tour cost if purchased at time of registration. After the tour confirmation and up until 60 days prior to departure, the coverage is available at 10% of total tour cost. After tour confirmation AND within 60 days of departure, it is not possible to purchase the coverage. Cancellations must be made in writing. Cancellations must be made in writing and receive by Randonnée Tours at least 48 hours before the start date of the tour. The cost of the coverage is due upon subscription to it.


Randonnée Tours recommends protecting yourself with other coverages including trip interruption, medical expenses and evacuation, and lost baggage.



The responsibility of Randonnée Tours is strictly limited. As a tour operator Randonnée Tours and its associates act only as agents for the guest and can accept no responsibility or liability for the service purchased or reserved from any company, accommodation, restaurant, taxi, rental company, and any other supplier (collectively called Suppliers) involved in the organization of the tours. The Suppliers providing services for Randonnée Tours’ active vacations programs are independent contractors and are not agents or employees of Randonnée Tours. None of these Suppliers are owned or operated by Randonnée Tours.


Randonnée Tours is not responsible for any negligent or willful act or failure to act of any Supplier or of any third party. By utilizing the travel services of the Suppliers, you agree that you will look to such Suppliers for any accident, injury, property damage, or personal loss to you or to those traveling with you, and that neither Randonnée Tours nor any representative of Randonnée Tours shall be liable.


Without limitation, Randonnée Tours is not responsible for any injury, loss, or damage to person or property, death, delay, or inconvenience in connection with the provision of, or failure to provide, any goods or services occasioned by or resulting from - but not limited to - acts of God or force majeure, acts of war or civil unrest, insurrection or revolt, strikes or other labor activities, criminal or terrorist activities of any kind, overbooking or downgrading of accommodations, mechanical or other failure of means of transportation or for the failure of any transportation mechanism to arrive or depart on time, sanitation problems, lack of medical care, or for any other cause beyond the direct control of Randonnée Tours.


In the event that it becomes necessary or advisable to alter the itinerary or arrangements for the comfort and/or well-being of the participants, such alterations will be made without penalty to Randonnée Tours. The right is reserved to cancel a tour and to decline to accept any person as a member of a tour at any time.


Guests are responsible for: choosing a tour matching with their physical abilities, fitness level and health conditions; arriving at the trip start on time for the meeting scheduled with the Area Manager; packing for the trip the clothing and gear recommended in the Tour Details; respecting the laws and customs of countries visited; using Randonnée Tours bicycles and equipment appropriately and according to Randonnée Tours guidelines; ensuring that all Randonnée Tours’ bicycles and equipment are returned in the same condition than initially provided excluding normal wear and tear.


If you are booking a cycling tour it is your responsibility to ensure that you can: safely operate a bicycle on the road with other users and respect traffic laws, brake safely and get to a complete stop in any circumstances, change gears properly to minimize fatigue and mechanic failures, use a bicycle hand pump and foot pump, inflate bicycles tires to the recommended pressure, repair a punctured inner tube, replace an inner tube, install/remove pedals (only if you plan to bring your own pedals) and install/remove a saddle (only if you plan to bring your own saddle).



Guests of all ages are welcome on Randonnée tours. In order to have the best experience possible, it is essential to choose a tour that is suitable to children and families. Guests are responsible for choosing a tour matching with their physical abilities. Contact one of our Travel Advisors for more information on our children and family friendly trips.



Guests are responsible for choosing a tour matching with their physical abilities, fitness level and health conditions. Information on the tours’ difficulties and physical requirements are available on the website and in the pre-trip material. Your health and safety during your tour is a priority for us. You should be in good health and have at least a basic level of fitness to participate in our activation vacation tours. Contact your doctor if you have questions or concerns about your health condition, fitness level or medical treatment you are taking and their implications in participating in one of our tours.


Randonnée Tours recommends wearing a helmet at all time while cycling. Randonnée Tours does not recommend participating in physical activities such as cycling, hiking and canoeing while under the influences of alcohol or other substances including prescription drugs.



Randonnée Tours is not responsible for the costs of any medical treatment you may require during or after the tour due to your participationin the tour. Under no circumstances Randonnée Tours is responsible for the quality of medical care you may receive while on the trip. Randonnée Tours recommends purchasing appropriate travel protection which protects your travel, belongings and person from unforeseen circumstances and events that may arise before and during your tour.

Trip confirmations are sent by email after processing of the due amount. The trip confirmation package includes detailed information about the tour which list the answers to many questions about your trip, and everything else you need to plan and prepare. Approximately 30 days prior to departure, you will receive your final information package including route descriptions, maps and other information that you will need on your tour. Guests understand that maps, route descriptions, tour details and any other tour material provided by Randonnée Tours remain the entire property of Randonnée Tours unless indicated otherwise, and are for the unique use of the tour booked, and must not be published, sold, shared or reproduced for public use or any other purposes than the tour booked.



Final information packages (route instructions, detailed maps etc.) are usually sent by courier one month before the start of your trip. The reason we send at this time is to ensure you have the latest updates available. Final information packages are couriered by ground for deliveries to Canada and continental USA. This shipping cost is included in the tour price. For delivery outside Canada and continental USA or for express delivery an extra fee will apply to reflect the additional cost of this.



Tours outside of Canada are exempted from the goods and services tax. All Canadian tours are subject to the current provincial goods and services tax applicable in the province the tour is taking place.



All personal information supplied to Randonnée Tours will remain within our organization (Randonnee Tours Inc. & REM Event Management Inc. DBA Great Explorations) and will not be shared with any external entity unless prior permission is given. Your personal information will not be sold, distributed or published in any manner whatsoever.



Photos and videos of guests taken during the tours may be used for promotional purposes. Pictures and videos submitted by the guests become the property of Randonnée Tours, and may be used for publicity purposes and published on our website. Pictures and videos may be edited for publication.



You will need a valid passport for trips outside of your country. No visas are currently required for Canadian and United States citizens for the destinations offered by Randonnée Tours. It is recommended to carry your passport with you at all times. For most countries passports must be valid 3 months beyond length of stay. Non-U.S. and Canadian citizens must contact the appropriate consular office or embassy for any requirements related to their trip. International travel rules, requirements and regulations are subject to changes, it is your responsibility to remain informed of such changes at all time.



Tour prices quoted on this website are land prices per person based on a double occupancy. Prices, accommodations, tour programs, benefits and incentives terms described on this website and any other Randonnée Tours promotional materials are subject to change. Randonnée Tours reserves the right to correct pricing at any time, or to increase the tour price in the event of cost increases due to changes in currency fluctuations, taxes, or cost of services provided by our suppliers.



The Guest agrees that the present terms and conditions, all rights and liabilities referred to herein, shall be interpreted in accordance with and governed by the laws of British Columbia and any action arising there from shall be within the exclusive jurisdiction of British Columbia courts.
